Short answer: situation, impact and next step

Explain what happened, its effect on the task and what response you need. “Vou chegar cerca de dez minutos mais tarde. Podemos começar às nove e dez?” is more useful than an apology without a time. If arrival is uncertain, do not present an estimate as a fact; say that you will confirm it.

The CEFR includes employment among familiar A2 communication topics. We apply that reference to routine messages, without suggesting that A2 is sufficient for every role. The examples define no employment rights, accepted justifications or mandatory channels. Their purpose is a comprehensible message and a clear distinction between a proposal and a confirmed decision.

Short answer: situation, impact and next step
PortugueseMeaning
I expect to arrive at about 9:10.
Podemos começar a essa hora? Can we start at that time?
Refere-se ao ficheiro da apresentação?Do you mean the presentation file?
Devo enviar a lista até às onze?Should I send the list by eleven?
Can we talk at three instead of two?
Combinado, falamos às quinze.Agreed, we will talk at three.

Report a delay: estimate or confirmation?

“Vou chegar às nove e dez” gives a direct prediction. “Penso chegar por volta das nove e dez” makes the estimate more explicit. Choose wording that reflects what you know. An entire account of the journey is unnecessary simply to explain that a meeting may be affected by your arrival time.

In the example, the writer asks whether a later start is possible instead of assuming everyone can wait. Practise two replies: a colleague accepts the new time or suggests starting without the character. Read the whole response before confirming. A proposal that has not been accepted should not appear in your notes as an agreement.

Original example for practice

Bom dia, Marta.

Confirm a task: what, by when and to whom?

“Envie o ficheiro hoje” can leave uncertainty about the file, recipient or deadline. Ask for the missing element: “Refere-se ao ficheiro da apresentação?” Then confirm the action. A precise question prevents a colleague from repeating all the instructions without knowing which part you understood and which part is still unclear.

The second model distinguishes sending an initial version from a later review. Replace the object with an invented text or list during practice. Do not use real client files for group study. Fictional names preserve the language task without sharing work content, and they let you change details freely between attempts.

Original example for practice

Suggest another time: a question requires a reply

“Podemos falar às quinze em vez das catorze?” identifies the original time and an alternative. Add a second option if useful. Avoid only saying “mais tarde”, which different people can interpret differently. Finish with a clear question rather than several times without explaining which arrangement you want to make.

If a colleague accepts fifteen hundred, reply “Combinado, falamos às quinze”. If they suggest a different day, confirm that day too. Internal rules for meetings or shift changes are outside this guide. The fictional activity practises the distinction between requesting a change and communicating an arrangement that someone has already accepted.

Exercise with answers: interpret before replying

What is the list deadline? Eleven. When is the meeting? Twelve. One answer is “Sim, envio a lista até às onze. Confirmo a reunião às doze.” Do not confuse the sending deadline with the revised meeting time.

Now you need information before finishing and want a later deadline. This is a request, not permission already granted. In the role-play, a colleague can accept or refuse. Write a final confirmation consistent with their actual response.

Review: can the recipient act on it?

Before finishing, check whether the recipient knows the task, time and whether you are requesting or confirming. Fix missing information before a language construction. A very polite sentence without the task name may remain impossible to answer. Practical content matters more than decorative wording, especially in a short exchange with several possible interpretations.

Turn a message into a partner dialogue with an unexpected question. The changing-an-appointment audio helps distinguish old and new times. For “vou enviar”, continue with the future-plans guide. Use A2 exercises for comprehension and seek human feedback on whether your own message was clear to someone reading or hearing it.
